Are the old versions of protocols or datasheet maintained?

All version approved are stored in the system, you can trace every document produced a re-build

Can I export documents produced?

All documents can be exported in the common used format like PDF, DOC, RTF. Once exported the document become "Static"

Can I insert images in the template and or in the

final document?
Yes, if you insert an image in the template you will have the same image in the any document you produce starting from that template, if you insert an image in a final document, it will be available only in that document once

Can I rename documents produced?

You can decide the naming policy of all document produced and this is the standard way to treat naming. Of course once exported you use the document as a standard file, so you can rename and also editing it, but in this way you loose the propriety to manage text modification and to trace them

How can I compose a text in a template or directly in a specific datasheet or protocol?

There are different ways: 1) Type text using the built-in editor 2) Copy and paste from different sources and then odify adding "variable values" and fixing text

How can I distinguish document versions?

BioDataSheet assign a incremental version number every time a document is approved so "officially published". All this version number are published, traceable and available for re-editing and re-publishing

I have to produce C.A. (Certificate of analysis) mayI use BioDataSheet?

Yes, BioDataSheet is suitable to produce, trace, and publish also Certificate of analysis

How can I link produced document to my website database? Depending on the name policy you can automatically link the protocol files published in your website, e.g. naming document starting with [product code]_[language].PDF you have the key to write into your web-database where it has to link the files. Moreover BioDataSheet can produce a link table, where you have a simple excel or database file that tells you where files can be linked

I have all distributor names in my protocols and one of them is changed; now I've to change in all document published the details for that country; how can I do it?

It's very simple. Browse the administration section, search for the text to change (Distributor name and contact etc), approve the changes and reproduce all document with the last version. Re-Publish documents using the FTP built-in services into your website. It's a 30 minutes work, no matter how many protocol you have

A system crash has corrupted the database, how can I restore my data?

An automatic backup is stored every day, so what you can loose is the work of the same day of the crash. Please be careful to store backup data on different machine/server so you do not risk to loose all your previous work

Can BioDataSheet be personalized for my company?

Specific version can be produced if feature requested are compatible with the general concept of the application, please make your request to info@biodatasheet.com

Can I change something specific in ALL document already published and distributed?

Once you have publish a document, it is static and not anymore in the database, otherwise, the data used to compose it are still in the database. You can in this case browse the document data, change what you want to change and re-publish the relevant  modification with automatically notification to all people have to know it.

Can I delete a user easy because he/she left the company?

If you have settled BioDataSheet in your intranet there are no problems because he/she must access inside your intranet with the credentials, if you published on

Can I import data I have in a database?

Yes, the data can be imported once a specific template(s) is ready to accept data, but this is a custom order, it can not be done by you but must be ordered to the software house

Can I import the documents I have?

No, Biodatasheet use a dynamic approach for creating document, so you can copy and past the relevant section in a template or in a single protocol and then use these information for future protocol but you can not import single document in Biodatasheet

Can I produce a datasheet in different languages as for IVD guide lines?

Yes a template can be composed foresee different language and when you produce a final protocol or datasheet you have to define the language; otherwise there not automatic translation or other feature that help to trace modification made in one language in comparison with others.

Can I produce a document using a different company logo and or different company data?

The templates join a "Supertemplate" that define the Company basic data. If you create more then one "Super-Template" you can also create the same protocol for different companies, so for OEM purpose you create in one shot many protocols; depending on the template they can be identical or very different, but they are using the same data.

Can I re-publish all documents I have in

BioDataSheet?
Yes, a specific function "REPRODUCE ALL" is available

Can I transfer on a new server Biodatasheet application?

Yes you can do it, it's suggested that an IT manager or a competent person do it. Documentation "how to transfer" is available on request and a extended agreement must be signed to avoid software piracy

Can I use Biodatasheet over Internet?

Yes, if the system in published in Internet (you have to choose) all authorized people can use Biodatasheet from all over the word

How can I trace the document version?

BioDataSheet assign a different version every time the document is modified and approved by the supervisor. The previous version are kept so you can trace and recover them if necessary. When the version changes, you can decide to notify to mailing list subscriber that the document is changed and they have to update it

How long I need to learn BioDataSheet use?

Biodatasheet is very simple and user friendly. Create a Template > Define Variable content> Produce your documents > distribute them

I have a new user to set-up in BioDataSheet, need I assistance?

Depending on the license term you have bought, if you can add a new user (version No-LIMIT) the procedure is very simple: define the login and the password in the administration level and communicate the access data to the new user.

I have to produce IVD (In Vitro Diagnostic)document. There is a standard procedure to do it?

The template must be composed following the IVD guidelines. An internal guideline has been produced and it is available for consulting, otherwise it is provided without any warranty. The standard images to use in a IVD document are provided in the BioDataSheet, again without any warranty; all documents must be controlled and approved by competent personnel

I have to produce RICH document. There is a standard procedure to do it?

The template must be composed following the RICH guidelines. An internal guideline has been produced and it is available for consulting, otherwise it is provided without any warranty. The standard images to use in a RICH document are provided in the BioDataSheet, again without any warranty; all documents must be controlled and approved by competent personnel

Is Biodatasheet multi-languages?

Yes, you can translate many part of the software and have Biodatasheet in your language

Is BioDataSheet protected in some way?

Biodatasheet has many protection features. All documents before they can be released must be approved with a MASTER Password and all user are recognised automatically when they login in the system

Is the license I buy multi-company?

No, only one company can use Biodatasheet to produce documents, by the way you can produce documents for other companies e.g. companies buy product in OEM you produce. You can not use this software as "document agency" to produce protocols as a service for many companies

Must I have a Internet web server to use Biodatasheet?

No, it's necessary only if you decide to publish the application on Internet to let it use from any location. It can be used on the intranet under the same security level

The person who worked until yesterday on protocol has left, now I've to rebuilt all pending situations and teach a new person. Can Biodatasheet help me?

Sure, all document are stored in a database, there are comment on the template fields used and they help in rebuilding all pending. Moreover, if a document is not finish is listed in the "pending section", and choosing a pending document you can see what is still pending inside the document chapter per chapter. Save you knowledge, it's pure cash!

Why have I mailing lists inside BioDataSheet?

You can subscribe people to different mailing list naming different mailing list; one can be for customer, one for distributor, one for internal use… no limit in mailing list definition. Once a document is ready to publish and approved, you can decide to notify mailing list subscriber the document is ready and Biodatasheet will send emails to all people subscribed.

Once I created a template, can I change it?

Yes, all templates can be modified and the datasheet derived from the template can be re-created

Template number is limited?

No, you can create how many templates as you like

The standard text in the template can be changed?

yes, when you start to compose a specific datasheet or protocol you can maintain all data stored in the template including the variable values or decide to use a complete new texts, with the limit of the number and type of chapter defined in the template chosen

Variable values in the template are limited?

No, you can create as many "variable values" as you need

What a "variable value" is?

A variable value is part of the template and it defines a text or numeric or alphanumeric value. It is part of the "standard text" in a chapter in the template and it must be defined with a desired name. The variable value will be substituted during the datasheet creating. Example: in the template I define a variable with name "CODE" and I write: "The product with "CODE" has a concentration of:...". When I use the template to compose a new datasheet, I will be asked to declare the variable "CODE"; declaring it as "A2145BB" in the final datasheet I'll obtain automatically: "The product with A2145BB has a concentration of:. There are no limit in the variable numbers that can be defined in the templates

What a template is?

A template is a model for the datasheet you have to create. In this model you can define chapters, chapter titles, standard text in each chapter, variable values. All this it is used and ready when you have to create a new datasheet for a particular product
