Making protocols, Instruction booklet or datasheets for products is a quite complex organizational problem.

Which is the latest version? and where is it? Where is the empty DOC file in the intranet? Why is the Company logo different in instruction booklets? Who prepared this page? Is this picture the sames as was used last time? Open a DOC, save PDF, transfer to the web, overwrite... and if you names files in a different way (a space, a comma) the two files get their own life, they become what we call a "ghost", probably forever.

BioDataSheet is a complete software solution that can create, manage, share and publish all documents related to a product. All documents are held in a company database, that is shared using an internet browser such as Explorer or Mozzilla Firefox. The document creation is based on a template format, so similar documents can be created with minimum effort. If and when it is necessary to modify a template (a rule changed, a new component) all documents based on the specific template can be generated in batch, PDF format and also be published on the web site.

Document versions

BioDataSheet keeps track of all published versions of a document, and the previous version can still be edited and modified if required; this is very important in the case of In Vitro Diagnostic (IVD) or Good Manufacturing Process (GMP) products. On the web site as well as, having the possibility to change all document names in a second (the naming policy is in the BioDataSheet set) it is easy to maintain the document structure., but overall, all documents can be searched, modified, and shared rapidly!

Searching

Documents are stored in a database, so search for a specific code, name, or part of the text becomes easy and fast; usually the document structure in a Company is composed of many directories full of documents, with no sure version or status, and if the person in charge for documentation changes... Multi languages

Biodatasheet templates support many languages, so it is easy to produce documents of the same version in different languages, all stored in the same database reducing the need to store on the Company hard disk documents with no clear version!

Batch creation of documents

Using templates, the Biodatasheet system creates or re-creates hundreds of documents in a batch operation process, i.e.. if something changes, it is possible to change all documents only changing the template, and re-create all documents in PDF format before sending them to customers/colleagues.

Variables into templates...

Templates use variables values, and a chapter structure so all common text is typed one time only, and variable values, typical for each product are declared in the final document. Moreover, chapters can be "blocked" in the document, so templates cannot change them, maximizing flexibility of your operation

One place for documentation

Biodatasheet saves all contents in a database, every time there is a modification, it will propose to change the version number. Biodatasheet can send all documents directly to your own web site using a FTP protocol
